1. Scope of this policy

This policy covers information collected through hrwpar.shop (pages visited, form submissions, correspondence) and information received during the ordinary course of our signature sheet: people advocacy, animal & environmental causes, and public-interest campaigns. It does not govern third-party websites we link to, and it supplements — never replaces — confidentiality duties in engagement agreements or partner contracts.

2. Information we collect

2.1 Information you give us

• Contact details: name, organization, email address and phone number sent through the sign-on form or email.
• Correspondence: causes, audiences, campaign ideas and anything else you write to us.
• Engagement information: once terms are signed, information reasonably required to perform — partner particulars, campaign materials, contact lists you provide, reporting data.

2.2 Information collected automatically

• Server logs: IP address, browser type, pages requested and timestamps, collected by our hosting provider for security and delivery.
• No tracking pixels: we do not run advertising pixels or cross-site trackers on this website.

2.3 Information we do not want

Do not send donations, dues, payment details, member lists or sensitive personal data (health, immigration status, political affiliations of individuals) through website forms or ordinary email. Sensitive records are handled through the office's controlled channels only.

3. How we use information

• Responding to inquiries and routing causes to the right desk.
• Preparing engagement terms, campaign plans and outreach materials.
• Performing contracted advocacy work: correspondence, public-awareness materials, coalition coordination and reporting.
• Meeting legal, tax and record-keeping obligations under Ohio and federal law.
• Protecting partners, constituents and the company from fraud and impersonation, and enforcing our terms.

4. Legal bases & consent

We process personal information to respond to requests you initiate, to perform contracts you enter with us, to comply with legal duties, and for legitimate interests in running a secure, professional office. Where consent is the basis you may withdraw it by contacting us; withdrawal does not affect prior processing.

5. Disclosure of information

We do not sell personal information. We may share it with:

• Service providers hosting, email and record systems under confidentiality obligations;
• Campaign partners — co-advocates, counsel and vendors — only as needed to perform a signed engagement and only as you authorize;
• Regulators and courts where the law requires;
• Successors if the business is reorganized or sold, subject to the same confidentiality.

Constituent, member and supporter identities shared with us under an engagement are never published or disclosed without authorization.

6. Confidentiality of campaign files

Partner files, campaign strategies, contact lists and correspondence are confidential business records. Access is limited to personnel who need it for the engagement. Advocacy work can involve sensitive constituencies — seniors, veterans, disabled persons, tenants — and we treat identifying information about them with heightened care.

7. Security

We maintain reasonable administrative, technical and physical safeguards: restricted access to partner files, encryption in transit for hosted services, and verification procedures before acting on any request to change engagement or payment details. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as the law requires.

8. Retention

• Website inquiries: retained while correspondence is active, then archived or deleted within 24 months unless an engagement follows.
• Engagement files: retained for the period required by Ohio law and our document-retention schedule — typically at least the applicable statute-of-limitations period.
• Campaign materials: retained as the engagement and applicable law require.

9. Your rights

Depending on your jurisdiction you may request access to, correction of, or deletion of personal information we hold about you, and may object to certain processing. We will honor requests as the law permits — noting that signed agreements and legal-retention duties may limit deletion. Email hello.r.calloway@hrwpar.shop with the subject "Privacy Request."

10. Children

Our services are for adults and organizations. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us and we will delete it.

11. Impersonation & donation-fraud warning

Advocacy brands are targets for fake "donation" requests. We will never email you unsolicited asks for money, dues, gift cards or changed payment details. If you receive such a message claiming to be from HRW, verify by phone at +1 (910) 541-5142 before acting — using a number you already know, not one from the suspicious message.
